How much does fleet GPS tracking cost?
Real-time GPS fleet tracking starts at $22 per vehicle per month with Responsible Fleet. AI dash cameras start at $40 per vehicle per month, and asset trackers for trailers and equipment start at $22 per asset per month. Every published rate is on our site — no "call for a quote" runaround, no surprise add-ons, and the same plan whether you have three vehicles or three hundred.
Am I locked into a long contract?
No. You choose. Go month-to-month for maximum flexibility, or save with a 24-month plan that locks in a lower per-vehicle rate. Both options come with the same hardware, the same dispatch software, and the same US-based support. We would rather earn your business each month than trap you in fine print.
Is there a setup fee or hidden cost?
No setup fee on month-to-month plans. The 24-month plan has no upfront hardware fee. Some no-contract camera plans include a one-time equipment payment in exchange for a lower monthly rate — that price is shown clearly at checkout, never as a surprise on the invoice.
Is there a money-back guarantee?

How do I cancel?

How does your pricing compare to Samsara, Motive, or Verizon Connect?
Honest answer: we are usually less expensive per vehicle and we publish our prices on the site, which most enterprise vendors do not. The big platforms can have more sales-led features for very large fleets; we are built and priced for small and mid-size fleets who need real software without the enterprise sticker shock.

GPS fleet tracking — how it works

How does GPS fleet tracking work?
A small device in each vehicle uses GPS satellites to know where it is and a cellular connection to send that location to your dashboard. You see every vehicle on a live map, plus speed, idle time, route history, and alerts you set. The driver does not have to do anything — the device handles it in the background.
How accurate is your GPS tracking?
Location is typically accurate to within a few meters under open sky. In dense urban canyons or covered parking the accuracy may drop briefly, then snap back when the vehicle gets clear sky. The map smooths short outages so you see a clean route, not a jagged one.
How often does the location update?
Live location updates every 10 to 30 seconds while a vehicle is moving. Stationary vehicles report less frequently to save battery on the device. You can also pull a full history of any trip back to the minute.
Can I see where my vehicles were last week, last month?
Yes. Full trip history is retained and searchable. Click any vehicle, pick a date, and play back the route, stops, idle time, and speeds — same view the driver experienced in real time.
Can I set up alerts for speeding or going off-route?
Yes. You can create alerts for speeding, hard braking, hard acceleration, prolonged idling, after-hours use, entering or leaving a geofence, and more. Alerts can be sent by email, push notification, or both.
What is a geofence and how do I use it?
A geofence is a virtual boundary you draw on the map around a job site, customer location, or yard. The system tells you when a vehicle enters or leaves the boundary. Fleets use them for arrival confirmation, lunch boundary checks, after-hours alerts, and automatic stop logging.
Does the system work in remote areas without cell service?
In areas with no cell coverage the device buffers GPS data on board and uploads it as soon as it gets signal again — you do not lose the route, it just arrives a few minutes late. For truly remote terrain (mining roads, oil fields, off-grid agriculture) we also offer satellite asset trackers.
Will the tracking still work if my vehicle is towed or stolen?
Yes — that is one of its most valuable jobs. The device continues reporting location while the vehicle moves, so you can show law enforcement exactly where it is. Many of our customers have recovered stolen trucks within hours instead of weeks.

What is a fleet dash camera?
A fleet dash camera is a connected HD camera mounted inside a vehicle that records the road, the cab, or both. The footage uploads automatically to a secure cloud dashboard, so you do not have to pull SD cards. Used right, it protects drivers from false claims, captures real incidents on video, and gives you the truth when someone disputes a story.
Do your dash cameras face the road, the driver, or both?
You can choose. The standard fleet dash cam captures the road only. The dual-facing unit also adds a driver-facing camera for inside-the-cab visibility. For broader vehicle coverage we offer the 270° Multi-Camera System with two auxiliary side cameras that fill in the blind spots.
What resolution do the cameras record at?
Road-facing video records in HD (1080p) with a wide-angle lens so you capture full lane width. Auxiliary side cameras also record 1080p. Footage is bright and clean in daylight; the cameras have low-light tuning for night driving.
How long is footage kept?
Critical clips tied to events (hard braking, collision, panic button) are auto-uploaded and retained on your account so they are there when you need them. Continuous on-device footage rolls on the SD card for several days depending on resolution, and you can request specific time windows to be uploaded on demand.
Can I see live video from the cab?
On supported camera plans, yes — you can pull a live road or cab view from the dashboard. This is intentionally a permissioned action (it is not "always on" surveillance), and it is most often used to verify location during an emergency or confirm a driver is safe after an alert.
Do the cameras record audio?
Audio is configurable. Many fleets choose road-camera audio only, no in-cab audio, to address driver privacy. Some states have stricter rules on in-cab audio recording — we will help you set it up to match your state and your team comfort level.
What happens if there is a collision?
On a hard impact or sudden deceleration the camera marks the clip as a critical event and uploads it immediately. The 30-second window before and after the impact is preserved so you have road view, vehicle telemetry, and timestamps to support an insurance claim or defend the driver.
Can the driver delete footage?
No. Drivers cannot delete or alter footage from the cab. That is on purpose — the camera is an objective record, and drivers gain protection from false claims when they cannot be accused of cherry-picking what survives.

What does the "AI" in AI dash cameras actually do?
The camera analyzes the road and the driver in real time and flags risky patterns: following too close, lane drift, distracted driving, cellphone use, no seatbelt, drowsiness signs. When it detects one, the camera can give the driver an in-cab voice prompt ("eyes up") and tag the clip for review.
Does AI coaching actually change driving behavior?
Yes — most fleets see measurable improvements within the first 60 days. The in-cab alert in the moment matters more than monthly coaching meetings. Drivers correct themselves before the trip ends, and you get safer routes without a hard conversation.
Does the AI work in the dark or in bad weather?
Road detection works in low light through the camera’s night tuning; driver-facing detection uses infrared so it works in the dark and through sunglasses. Heavy rain or snow can reduce detection confidence, similar to a human driver — the system errs on the side of fewer false alerts.
Can I turn off in-cab alerts for some drivers or all drivers?
Yes. In-cab voice alerts are configurable per fleet and per driver. Some fleets use them on day one; others ramp them in after onboarding. The detection still runs and tags clips for review either way.
How does it tell the difference between yawning and a long blink?
The system uses combined signals — eyelid duration, head pose, frequency of distraction events in the trip — and only flags drowsiness when the pattern crosses a threshold. False-positive rates have dropped significantly over the past few years as the models have matured.

Installation & setup

Is the hardware hard to install?
Not at all. Our plug-and-play GPS tracker pushes into the vehicle’s OBD-II port (the diagnostic port under the dash) and starts reporting in seconds — no tools, no shop visit. If you prefer it hidden, we also offer a hardwired install. We will help you choose what fits each vehicle.
How long does it take to install a dash cam?
A road-facing dash camera takes most installers about 20–30 minutes per vehicle. The multi-camera bundle takes longer (about 60–90 minutes) because the auxiliary cameras need to be routed to the cab. We send all the wiring, mounts, and a clear install guide.
Can I install it myself or do I need a technician?
Most fleets do their own plug-and-play installs in their own shop. For hardwired dash cameras or the multi-camera bundle, some fleets prefer a local technician. We can recommend installers in your area if you want one.
Will installing a device void my vehicle warranty?
No. The plug-and-play OBD tracker uses the standard diagnostic port the same way a mechanic does. Hardwired installs use standard 12V vehicle power — the same place a radio gets power. Neither method modifies powertrain or safety systems.
How long does the whole rollout typically take?
Most fleets are fully installed, onboarded, and live within about two weeks of receiving hardware. The first vehicle reports the same day. The rest of the time is split between installing the remaining vehicles, training the team on the dashboard, and configuring geofences and alerts.
Can I add cameras or assets later?
Yes. Start with GPS tracking and add dash cameras, asset tracking, dispatch, or compliance whenever you want — all under one login. The platform scales with you.
What do I need to provide to install the GPS tracker?
Just the vehicle, the OBD-II port, and a few minutes. We send the device, a quick-start card, and access to the dashboard. The first install on a new vehicle takes about three minutes and the device starts reporting within five.

ELD, DVIR & FMCSA compliance

What is an ELD and do I need one?
An ELD (Electronic Logging Device) is the FMCSA-approved replacement for paper logbooks. Most drivers of commercial motor vehicles requiring a CDL who are subject to hours-of-service rules are required to use one. Short-haul drivers and some agricultural / personal-conveyance use cases are exempt. We will help you check whether your operation qualifies.
Is your ELD certified with FMCSA?
Yes. Our ELD All-in-One Tracker is on the FMCSA-registered device list. It captures hours of service automatically, supports driver workflows for status changes, and produces the standard ELD output file for roadside inspection.
What are the current hours-of-service rules?
For property-carrying drivers: 11-hour driving limit within a 14-hour on-duty window, after 10 consecutive hours off duty. A 30-minute break is required after 8 hours of driving. The weekly limit is 60 hours in 7 days or 70 hours in 8 days, with a 34-hour restart option. Passenger-carrying drivers have different limits.
What is DVIR and is it required?
A DVIR is a Driver Vehicle Inspection Report — a daily checklist drivers complete to confirm the vehicle is roadworthy and to log any defects. For most commercial drivers it is required, and the FMCSA has explicitly clarified that electronic DVIRs (eDVIR) are acceptable. Ours rolls into the same app the driver already uses.
How long do I have to keep ELD and DVIR records?
ELD and HOS records must be retained for at least six months. DVIRs must be retained for at least three months. Our platform keeps both online indefinitely so audits are a matter of running a report, not digging through filing cabinets.
What happens at a roadside inspection?
The officer asks for the ELD record, and your driver transfers it electronically (the standard FMCSA file format). If the officer prefers, the driver can also display the on-screen logs. Our app walks the driver through both flows.
Does the system help with IFTA reporting?
Yes. Because the GPS knows where the vehicle drove and the ELD knows the engine hours, the platform can produce a state-by-state miles-driven report you can drop into an IFTA filing. It does not file IFTA for you, but it removes the manual log-by-state reconstruction.
What about drug & alcohol clearinghouse compliance?
That is a regulatory process at the carrier level, separate from our hardware. We do not run the clearinghouse, but the same platform can hold driver records (CDL expiration, medical card expiration, training certifications) so you stop discovering an expired credential after the fact.
Asset Tracking

Trailers, equipment & non-powered assets

How do you track a trailer or piece of equipment that has no power?
With long-life or solar-powered asset trackers. They run for years on internal batteries (or indefinitely on solar) and report location, motion, and shock without needing to be wired to anything. Magnet, screw, or hidden-mount options are available depending on the asset.
How long does the battery on an asset tracker last?
A standard non-powered tracker lasts about 3–5 years on a single battery depending on how often you set it to report. Solar-powered trackers report indefinitely as long as the panel sees daylight. We size the right tracker to your asset and check-in frequency.
Can I track trailers in remote areas with no cell coverage?
Yes — for true off-grid coverage we offer satellite-based asset trackers that report via satellite instead of cellular. They cost a bit more but they will tell you where a trailer is in the middle of nowhere.
What kinds of assets do customers track?
Trailers, dumpsters, generators, light towers, skid steers, mowers, attachments, containers, portable buildings, and any expensive thing that walks off if you do not watch it. If it can hold a tracker, we have probably tracked it.
How quickly will it tell me if a trailer is moved?
You can set motion alerts that fire within seconds of the trailer being bumped, hooked, or rolled. That has helped customers recover stolen trailers in hours instead of writing them off.
Can asset trackers stay on while the asset is in storage?
Yes. Storage mode dials back the reporting interval so the battery lasts much longer when the asset is parked. As soon as it moves, the tracker wakes up and resumes normal reporting.

How does the GPS tracking integrate with my field service software?
GPS feeds your dispatch board so you can assign the closest available truck, give a customer a real arrival window, and confirm the technician actually showed up. We integrate with leading FSM platforms (such as ServiceTitan, Housecall Pro, and Jobber) and sync via standard APIs or via our own dispatch tools if you do not have an FSM yet.
Do you offer dispatch and scheduling built in?
Yes — for fleets that do not already have an FSM, we offer scheduling, dispatch, and work-order tracking that uses the live GPS data automatically. You see jobs and trucks on the same map.
Can dispatchers route the nearest available truck to a new job?
Yes. The dashboard shows every truck’s live location and current job, so dispatch can drop a new job on the closest available crew and message the driver in one motion. This is the single biggest dispatch upgrade most field-service fleets see.
Do you connect with QuickBooks for billing?
Yes. Time-on-site from the GPS data and completed work orders can flow into QuickBooks Online for invoicing. That means less manual entry and accurate billing based on what actually happened, not what someone remembered.
Do you integrate with Salesforce, HubSpot, or other CRMs?
Yes. We support standard integrations with major CRMs to keep customer addresses, service histories, and job notes aligned with what is happening in the field.
Can my drivers see their job list in the same app as ELD and DVIR?
Yes. Drivers see today’s assigned jobs, their hours of service, their inspection checklist, and any messages dispatch sent — all in one app. Fewer apps means more compliance and faster jobs.
Do you offer an open API if we want to build our own integration?
Yes. We have a REST API that exposes vehicle location, trip history, driver status, and alerts so your in-house systems can use the same data the dashboard shows.

How much fuel can GPS tracking actually save?
Real numbers vary by fleet, but a vehicle that idles for an hour a day burns roughly a gallon of fuel doing nothing. Cutting that habit on even a portion of your fleet shows up on the fuel card the first month.
Do dash cameras lower my insurance premiums?

Will tracking reduce overtime hours?
Frequently, yes — because the same hours suddenly account for more work. Visibility ends "I was on the job until 6" debates, and idle / detour time becomes obvious. Most fleets see overtime trend down once the data is visible.
Can it help with stolen vehicle recovery?
Yes. With live location and motion alerts, law enforcement can be guided directly to a stolen truck. The recovery rate for tracked vehicles is dramatically higher than non-tracked, and the recovery typically happens in hours rather than weeks.
How does it reduce maintenance costs?

Is using a dash cam in my trucks legal?
Yes in most US states for commercial vehicles you own. Some states have specific consent rules around audio recording or driver-facing cameras — we help you configure the system to match your state and you will likely want to communicate clearly with your drivers regardless of whether you are required to.
Do I have to tell drivers they are being recorded?
Best practice (and the law in some states) is yes — and it is almost always better for adoption anyway. Drivers who understand the camera protects them from false claims accept it far more readily than drivers who feel surveilled.
Can I turn off the in-cab audio?
Yes, audio is configurable. Many fleets run video only or road-camera audio only. If you operate in a state with strict in-cab audio rules, we configure it to comply by default.
Can my drivers see their own footage?
On most plans, yes — drivers can review their own clips and learn from them. Self-review tends to change behavior faster than being shown the clip by a manager in a meeting.
Who in my organization can access video?
Access is role-based. Owners and dispatch typically have full access. Coaches and safety leads can have access scoped to their drivers. Drivers usually have access to their own clips and to nothing else.
Does the tracker know what the driver is doing off-duty?
No — and that matters. The tracker reports on the vehicle, not the human. With the right configuration the device knows when a vehicle is in personal-conveyance / off-duty status and reports accordingly, so personal time stays personal.
How should I roll cameras out without alienating drivers?
Three things: tell drivers up front and explain why, share the first few "exoneration" clips with the team so they see the protection benefit, and use the AI in-cab alerts before you ever pull up footage in a meeting. Drivers buy in fast when they see it work for them.

Data, security & access

Where is my data stored?
On secure cloud infrastructure in the United States. Data in transit is encrypted; data at rest is encrypted. You access it through our web dashboard and mobile apps over HTTPS.
Who owns the data my vehicles generate?
You do. The location data, the trip history, the camera footage — all of it is your business data. If you ever leave, we provide a full export on request.
How long is data retained?
Trip and location history is retained for the life of your account by default. Camera footage retention varies by plan (critical clips are kept permanently; continuous on-device footage rolls). We can adjust retention to match your records-management or legal-hold policy.
Can I export data to my own system?
Yes. CSV export is built into every report, and the API exposes the raw data feed if you need automated extraction.
What happens to my data if I cancel?
You can export everything on the way out. After cancellation we retain your data for a short window in case you change your mind, then it is permanently deleted.
Is the platform secure enough for sensitive government or municipal use?
Yes — we have municipal and government customers running production fleets on the platform. We can provide our security documentation on request as part of an enterprise procurement.

Where is your support team?
In the United States. You call a real person, not an overseas ticket queue. Same team that helps with install troubleshooting also helps with billing, dashboard setup, and FMCSA inspection prep.
Do you charge extra for support or training?
No. Support, training, dashboard setup, and onboarding are all included with every plan.
Will you help me set up geofences, alerts, and reports?
Yes. During onboarding we sit with you (over the phone or screen share) and build your job-site geofences, after-hours alerts, and the weekly reports that go to the right people. You leave the call with a working setup, not a how-to PDF.
What if a device stops working?
Most issues are resolved by walking through a five-minute diagnostic over the phone. If a device is truly defective under warranty we replace it. We do not leave you with a quiet truck and a "submit a ticket" email reply.
Do you provide training for new drivers and dispatchers?
Yes. Onboarding includes a session for dispatch and a separate session for drivers. After that, additional sessions are free anytime you onboard a new hire or roll out a new feature.

Will my insurance company give me a discount for dash cameras?
Often, yes — particularly for AI-detection cameras and telematics together. The amount varies by carrier. Ask your commercial-auto underwriter what they offer for video and telematics, and we can supply documentation of what is being recorded.
How does dash camera footage help with claims?
It is the difference between he-said / she-said and "here is exactly what happened." In rear-end cases, lane disputes, and pedestrian incidents, road-facing video has cleared drivers who would have otherwise been stuck eating fault.
Can the footage be used in court?
Yes. Time-stamped, location-stamped video from a tamper-resistant fleet camera is admissible in most jurisdictions. We can produce the original clip with metadata intact if it is needed for legal proceedings.
What does CSA score have to do with telematics?
Your CSA score is built largely from inspection violations, crash data, and hours-of-service compliance. ELD plus AI dash cameras directly improve every input — fewer HOS violations, fewer reportable crashes, better driver behavior trend.
Does the platform help with subrogation when we are not at fault?
Yes. The combined road video, GPS speed, and braking event data provides a strong factual record your insurer can use to recover from the at-fault party. Customers regularly tell us this turns "give up the deductible" cases into successful subrogation.
Billing

Account & billing

How am I billed?
Monthly or annually, by credit card or ACH. Annual plans are discounted vs. monthly. Invoices come from billing@responsiblefleet.com and you can view all charges and download receipts from your account portal.
How do I update my credit card?
From your account portal, click "Update payment method." That takes you to a secure card-update form processed directly by Stripe. Card details are encrypted; we never see or store the full number.
How do I add or remove a vehicle from my plan?
Add: order a device from the shop or call us. Remove: email billing@responsiblefleet.com with the vehicle and we will adjust your next invoice. There is no minimum vehicle count.
Who do I contact for billing questions?
billing@responsiblefleet.com or call the number on your account portal. A real US-based person handles billing — same team that handles support.
Switching

Switching from another provider

I am stuck in a long contract with another GPS provider. Can you help?
In many cases, yes. We have walked customers through reading their existing contract, identifying termination clauses, and timing the switch around their renewal date. Email us your situation and we will give you straight advice — even if the answer is "wait six months."
How do I move my fleet over from Samsara / Motive / Verizon Connect / Spireon?
In about two weeks. We send hardware, you install (or we coordinate an installer), our team builds your dashboard to match the alerts and reports you had at the old vendor, and you train your team in one or two short sessions. We have done this enough times that the process is predictable.
Will I lose my historical data when I switch?
Your data at the old vendor stays with them per their contract. Going forward, all your new data lives with you and is fully exportable. Some customers ask us to import historical reports from the old vendor — we can usually accommodate that.
